AQL Inspection Pack: Checklist and PO Clauses
A print-ready sheet for final inspections under ISO 2859-1: what to bring, how to record the sample plan, how to classify defects, and five purchase-order clauses that decide who pays when a lot fails.
AQL 2.5 at a Glance
01 — Before the pull
Inspection Pack Checklist
Tick each line before the first carton is opened. A missing item is a reason to delay the inspection, not to improvise.
Documents and standards
- Purchase order with SKU breakdown, lot size, and packing list
- Signed approved (golden) sample
- Current spec sheet and measurement tolerance sheet
- Signed defect glossary: critical, major, minor
- Prior CAPA history and any open corrective actions
- Inspection plan: level, code letter, sample size, Ac/Re per class
Tools and site set-up
- Ruler or measuring tape, seam gauge, calibrated scale
- Camera with a photo-naming rule tied to defect codes
- Printed ISO 2859-1 tables and tally sheets
- Carton map and a random-number list you generated
- Needle detector for apparel; ESD kit only for electronics
- Lightbox or north-facing daylight for colour checks
- Static, segregated lot by PO, style, colour, and size
Report and disposition
- Sample size, code letter, inspection level, and AQL per class
- Defect counts by class against the Ac/Re numbers
- One photo per defect code; carton IDs and pallet zones
- Disposition: accept, hold, rework, 100% sort, or reject
- Signature, timestamp, and reinspection date if the lot failed
- Copy filed against the supplier scorecard, not just the PO
Record the plan on the report
Lot size, inspection level, code letter, sample size, AQL for critical, major, and minor, the Ac/Re numbers for each class, and the carton IDs and pallet zones you drew from. Without those six fields, the result cannot be reconstructed.
02 — Before the deposit
Five Purchase-Order Clauses
Paste these into the purchase order or attach them as an annex. Replace bracketed values with the terms you agreed.
Approved sample and specification
The supplier will not start bulk production until the buyer signs the golden sample and the measurement tolerance sheet. The signed sample and spec sheet are the reference for every inspection decision.
Inspection access
The buyer and its nominated third-party inspector may enter the production facility and inspect the lot at any stage. The supplier will present a static, segregated lot with a carton count and packing list that match the purchase order.
AQL plan and critical defects
Final inspection follows ISO 2859-1 / ANSI/ASQ Z1.4, single sampling, normal inspection, General Level II: AQL 2.5 for major defects and AQL 4.0 for minor defects. Critical defects have zero acceptance (Ac 0, Re 1).
Failure remedies and chargeback
If the lot fails, the supplier will quarantine the goods, complete a 100% sort, and pay for the sort, the reinspection on tightened inspection, and documented delay costs. Corrective action will be completed within [X] days.
Payment release gate
The balance payment is released only after a passed final inspection or a passed reinspection of the sorted lot. A failed inspection does not suspend the supplier's delivery obligation.
Template language only — have your own counsel review it against the governing law, Incoterms, and payment terms in your contract.
How to use this pack
Carry the checklist to the inspection table and attach the clauses to the PO before you pay the deposit. The clause that matters most is the one you can point to after the lot fails.
